As an Office Manager, you will be instrumental in maintaining an organized and efficient environment while working closely with senior management to implement strategies that improve both office and team performance. Key Responsibilities
Office Operations Management
- Supervise and manage the day-to-day operations of the office, ensuring that all functions run smoothly and efficiently.
- Organize and plan tasks and responsibilities for the office team, delegating appropriately to ensure deadlines are met.
- Oversee and maintain office assets and resources, including managing other related offices like ticket offices or lodging bureaus.
Team Leadership and Supervision
- Lead and manage the office team, providing guidance, motivation, and support to ensure peak performance.
- Utilize your team management skills to improve overall productivity and maintain a professional atmosphere.
Administrative Support & Record Keeping
- Ensure proper documentation of all correspondence, accounts, sales, and vacancy records to maintain an organized workflow.
- Use QuickBooks to track budgets, manage financial reports, and assist with invoicing.
Human Resources & Staff Development
- Assist with the recruitment process and handle employee-related issues, utilizing your knowledge of human resources practices.
- Provide training and support for staff development, fostering a positive work culture within the office.
Customer and Client Communication
- Manage phone inquiries, ensuring that all client interactions are handled professionally and with the highest level of customer service.
- Foster an environment of clear and concise communication, both internally and externally, to ensure strong working relationships.
What We’re Looking For
To thrive in this role, we need someone who brings both leadership and organizational expertise. Your experience as an office supervisor, combined with your administrative capabilities, will enable you to successfully manage and streamline office operations.
Required Experience & Skills
- At least 2-3 years of experience in office management or supervisory roles within an administrative environment.
- Strong clerical and administrative skills, with a focus on maintaining order and efficiency in a busy office setting.
- Excellent communication and organizational abilities to lead a team and effectively manage office resources.
- Proficiency in QuickBooks for financial management, budgeting, and invoicing.
- Solid understanding of human resources practices to manage recruitment and employee relations.
- Exceptional phone etiquette and customer service skills, ensuring clients receive a professional and friendly experience.
Desirable Qualifications
- Prior experience in a supervisory or office management position is highly preferred.
- Knowledge of insurance policy procedures or any relevant certifications would be advantageous.
