Key Responsibilities of the Head of Facilities Role

As the Head of Facilities, you will have a strategic role in overseeing the delivery of Soft Facilities Management (Soft FM) services, ensuring excellence in a range of services such as cleaning, catering, waste management, linen, reception, and security. The position will allow you to lead, innovate, and implement transformational changes while maintaining essential services across the Trust.

Key Responsibilities Include:

  • Lead Soft FM Services: Oversee the delivery of Soft FM services at your base hospital site and ensure alignment with Trust values, policies, and compliance frameworks.

  • Operational Leadership: Provide leadership to site-based service managers and teams, ensuring consistent performance management, workforce support, and adherence to Trust standards.

  • External Contractor Management: Manage relationships with external contractors, consultants, and suppliers, ensuring services are delivered on time and to the highest standards.

  • Budget and Procurement: Oversee operational and capital budgets, procurement activities, and invoice approvals, ensuring financial compliance.

  • Collaboration: Work closely with Estates & Facilities Directors, Soft FM Associate Directors, and site leads to ensure services meet Key Performance Indicators (KPIs) and national standards, including those set by CQC (Care Quality Commission).

  • Project Management: Lead and manage clinical service-led and mobilisation projects, ensuring smooth transitions and efficient service delivery.

About You: Qualifications and Experience

To succeed in this Head of Facilities role, you will need a combination of leadership, operational expertise, and a passion for improving services. We are looking for candidates who:

  • Possess significant senior management experience in facilities management, ideally within the NHS or an equivalent healthcare environment.

  • Demonstrate expertise in Soft FM services, including catering, cleaning, waste, security, and portering.

  • Have proven experience managing complex projects and implementing operational change while maintaining high service standards.

  • Excel at managing budgets and resources, with experience in procurement and financial management.

  • Are collaborative leaders with the ability to navigate complex situations and build strong relationships across multidisciplinary teams.

  • Have a track record of successfully leading teams, providing coaching, training, and support to ensure high performance and morale.

  • Are commercially aware, with experience managing outsourced service providers and demonstrating an understanding of cost-efficiency.

A degree in a related subject such as facilities management, real estate, or a project management qualification is essential. A post-graduate qualification is desirable but not mandatory.

  • Facilities Management Expertise: A deep understanding of Soft FM services such as catering, cleaning, waste management, and security, with experience implementing national standards and compliance regulations.

  • Operational Leadership: Proven ability to manage large, multi-disciplinary teams and coordinate services effectively across diverse hospital sites.

  • Digital Competence: Familiarity with digital programs and systems to improve efficiency and productivity, particularly in Soft FM operations.

  • Budget Management: Experience in managing operational and capital budgets, procurement, and ensuring financial targets are met.

  • Risk Management: A strong background in managing risk and compliance, including incident investigations and the use of tools like Datix to report and manage safety incidents.

  • Excellent Communication Skills: Strong interpersonal skills to liaise with a variety of stakeholders, including senior leadership, staff, and external partners.
