Key Responsibilities

As a Team Secretary, you will be responsible for a variety of essential administrative tasks within the medical secretarial team, including but not limited to:

Audio Typing and Correspondence Management

  • Provide audio typing and manage voice recognition tasks as delegated by the Secretarial Team Leader.

  • Typing of outpatient and inpatient correspondence and departmental documents.

Managing Patient Pathways

  • Support the management of elective and emergency pathways, particularly for cancer care, Referral to Treatment Targets (RTT), and e-referrals.

  • Assist with specialty-specific access points for patients and collaborate with other administrative staff.

Cross-Functional Collaboration

  • Work closely with consultants, junior medical staff, and nursing staff, offering administrative support where needed.

  • Collaborate with various departments to ensure a smooth administrative workflow.

Data Management and Record Keeping

  • Maintain accurate and up-to-date patient records in the Lorenzo system, ensuring compliance with healthcare standards.

  • Support the tracking of 18-week RTT status and help complete necessary forms as per operating procedures.

Administrative Support

  • Manage clinicians’ diaries, arrange meetings, and take meeting minutes when required.

  • Provide cross-cover for secretarial team members during annual leave or sickness.

  • Open and prioritize incoming mail, ensuring that urgent matters are handled promptly.

Policy and Procedure Implementation

  • Help implement new procedures, policies, or technology, particularly those related to the Patient Administration System (PAS).


Person Specification: What We’re Looking For

Qualifications and Experience

  • Essential:

    • Good basic education and a pass in English GCSE.

    • RSA III (or equivalent) in typing speed and accuracy.

  • Desirable:

    • European Computer Driving License (ECDL) certification.

    • Experience with Patient Administration System (PAS) software.
