Job Purpose
The Senior Admissions Officer at the University of Glasgow will play a key role in managing and delivering event-based admissions projects, ensuring that the institution’s admissions processes align with fairness, consistency, and transparency. You will oversee initiatives that improve the applicant experience, support major activities such as onboarding students from strategic partnerships, and ensure seamless operational efficiency. This role also involves optimizing admissions processes, supporting in-country offer-making, and managing confirmation and clearing procedures.
As a Senior Admissions Officer, you will collaborate across multiple departments, including Admissions, External Relations, Academic Schools, and Professional Services, to drive continuous improvements in the applicant journey. Your ability to leverage data insights and digital solutions will be essential in enhancing operations and implementing process innovations.
Key Responsibilities
1. Leading Event-Based Admissions Projects
You will oversee critical event-based admissions projects, ensuring that processes are in line with institutional policies and compliance requirements while delivering an excellent applicant experience. This includes high-impact tasks such as UKVI compliance and fee status assessments.
2. Operational Leadership
Act as the operational lead for admissions processes, particularly focusing on regulatory requirements. You’ll ensure timely and efficient processing of applications, providing clear guidance to stakeholders across the university.
3. Stakeholder Relationship Management
You will develop and maintain strong relationships with key internal stakeholders, such as Academic Schools and Colleges, ensuring they are well-informed about admissions progress and developments.
4. Reporting & Performance Assessment
Create and maintain operational reporting tools to evaluate the efficiency of admissions processes, ensuring that performance aligns with key indicators and institutional objectives.
5. Training and Process Improvement
Assist the Strategic Projects Manager in developing and implementing systems and process enhancements. You will also be responsible for providing training to staff members to ensure smooth execution of admissions procedures.
6. Supporting High-Volume Admissions
During periods of high application volumes, you will assist in managing operational tasks to ensure that turnaround times are met and the overall efficiency of the admissions process is maintained.
7. Deputising for Senior Admissions Officers
When required, you will step in to manage team workloads, support training efforts, and contribute to operational decision-making.
8. Collaboration with Admissions Operations Manager
You will work closely with the Admissions Operations Manager to ensure that technical tools and systems supporting admissions processes, such as application processing and UCAS data transfers, function effectively.
9. Additional Projects
Take on additional responsibilities as requested by the Heads of Admissions, including enquirer and applicant engagement initiatives such as Open Days or Clearing activities.
Key Skills and Qualifications
Essential Qualifications:
- A strong understanding of pre-HE and HE qualification frameworks in key recruitment markets (UK, EU, China, South Asia, South East Asia, North America).
- Extensive knowledge of legislation and compliance parameters that govern admissions practices.
- A qualification equivalent to Scottish Credit and Qualification Framework Level 8 (SVQ 4, HND, or equivalent) and substantial experience in a similar role.
Essential Skills:
- Teamwork & Initiative: Ability to work collaboratively and independently, managing competing priorities effectively.
- Research & Evaluation: Competence in evaluating academic qualifications using UK NARIC and university guidelines.
- Communication Skills: Ability to communicate clearly, both orally and in writing, to internal and external stakeholders.
- IT Proficiency: Excellent IT skills, including advanced knowledge of Microsoft Office and bespoke university systems like Oracle Campus Solutions and MyCampus.
- Problem-Solving: Ability to solve complex problems encountered during the admissions cycle and communicate effective solutions.
Desirable Skills:
- Management skills, particularly in managing sickness absence, staff wellbeing, and performance within high-volume environments.
- Familiarity with specific tools used by the University of Glasgow, such as Oracle Apex and advanced Excel.
Experience:
- Experience in liaising with academic colleagues and working within high-volume admissions environments, ensuring compliance with tight deadlines.
- Familiarity with admissions systems like UCAS, UKVI SMS, and Student Management Systems (SMS).
