Key Responsibilities

  • Executive & Administrative Support
    • Calendar Management: Organize and manage executive schedules, appointments, and travel arrangements.
    • Email Management: Prioritize and respond to emails, ensuring prompt and efficient communication.
    • Document Preparation: Assist in creating presentations, reports, and other necessary documents.
    • Data Entry: Maintain databases and internal systems with accuracy.
  • Customer Service & Client Relations
    • First Point of Contact: Handle client inquiries via email, live chat, and phone, providing exceptional support.
    • Customer Satisfaction: Address and escalate customer issues as needed, ensuring timely resolutions.
    • Record Keeping: Maintain detailed records of all client interactions and follow-ups.
  • Project Coordination & Task Management
    • Project Tracking: Monitor progress on key projects and ensure timely completion of tasks.
    • Team Collaboration: Schedule meetings, prepare agendas, and manage follow-up action items.
    • Special Projects: Conduct research, gather insights, and support business initiatives.
  • Research & Reporting
    • Market Research: Conduct competitor analysis and other ad hoc research to support business growth.
    • Data Reporting: Compile and analyze data to generate insightful reports for decision-making.
  • Social Media & Content Assistance
    • Content Management: Assist in managing social media accounts by scheduling posts and responding to engagement.
    • Online Presence: Monitor and suggest ways to improve social media visibility and engagement.

Qualifications

  • Experience: Minimum of 2 years as a Virtual Assistant or similar administrative role.
  • Tech Proficiency: Proficient in Google Workspace, Microsoft Office, and project management tools (e.g., Asana, Trello, Slack).
  • Communication Skills: Strong written and verbal communication abilities.
  • Organizational Skills: Impeccable multitasking and organizational skills with a focus on detail.
  • Problem-Solving: Ability to anticipate needs and solve problems effectively.
