Role Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide robust administrative and operational support to our Founders and senior leadership. Core Responsibilities
Executive Administrative Support
- Efficiently manage executive calendars, including scheduling meetings, video calls, and international time zone coordination.
- Support founders with both professional and occasional personal task organization.
- Maintain daily, weekly, and monthly activity reports to optimize executive productivity.
- Draft executive-level internal and external communications, emails, and memos.
- Serve as the point of contact for executives’ day-to-day administrative needs.
Operations and Workflow Management
- Maintain and update Standard Operating Procedures (SOPs) to ensure operational consistency and compliance.
- Create, revise, and distribute internal documentation related to workflow processes.
- Organize logistics for virtual team meetings, webinars, and stakeholder briefings.
- Support document archiving and file-sharing systems for easy team access.
Proposal and Contract Lifecycle Management
- Draft, edit, and finalize proposals and business contracts.
- Coordinate with team members to obtain necessary details and approvals.
- Manage the digital contract signature process using platforms like DocuSign.
- Ensure proposals and contracts are error-free and submitted on time.
Cross-Team Project Assistance
- Liaise between executives and internal departments including marketing and operations.
- Provide administrative support to cross-functional projects and campaigns.
- Help coordinate project timelines, monitor task progress, and escalate delays.
- Track performance metrics for ongoing initiatives and generate status reports.
Financial and Bookkeeping Support
- Generate invoices and support financial document preparation.
- Assist in tracking project budgets and expense reporting.
- Collaborate with the finance team to reconcile monthly expenses.
- Utilize QuickBooks Online to maintain basic financial records.
Required Qualifications
Professional Experience
- Minimum of 2 years in an Executive Assistant, Project Coordinator, or Operational Support role.
- Experience working in a remote environment and managing distributed team communications.
- Familiarity supporting C-level or executive leadership is strongly preferred.
Digital and Technical Skills
- Strong experience with project management platforms like Monday.com or Asana.
- Proficient with cloud document platforms like Google Drive and Dropbox.
- Comfortable using DocuSign and other e-signature platforms.
- Exposure to bookkeeping software, especially QuickBooks Online, is an advantage.
Interpersonal and Communication Skills
- High emotional intelligence and professional discretion.
- Exceptional verbal and written communication in English.

- Spanish language skills are a plus but not required.
