Our client is an innovative company in the aerospace industry, seeking a proactive and organized Administrative Assistant. The role involves supporting executives with calendar management, travel coordination, and other administrative tasks. The ideal candidate should have strong communication skills and a background in operations or administrative support.

Job Title: Administrative Assistant

Location: 100% Remote (Work From Anywhere)

Salary: $800 – $1,300 per month

Job Type: Contract

Key Responsibilities

  • Calendar Management: Oversee executive calendars, schedule meetings, and manage stakeholder coordination.
  • Email & Communication Support (Optional): Assist with email responses, follow-ups, and ensuring prompt communication.
  • Travel Coordination: Book flights, hotels, and other travel arrangements for the team, ensuring a smooth experience.
  • Data Entry & Bookkeeping: Perform data entry and light bookkeeping tasks to assist the finance team.
  • CRM Management: Support CRM-related tasks, ensuring data is accurate and up to date.
  • Operational Support: Provide general support, ensuring tasks are completed efficiently and accurately.
  • Administrative Duties: Organize documents, handle scheduling, and follow-up on various tasks.

Success Metrics

  • Efficient Calendar Management: Seamless organization of executive schedules and meetings with minimal conflicts.
  • Proactive Communication: Prompt email responses and follow-ups to keep all stakeholders informed.
  • Smooth Travel Arrangements: Coordinated travel logistics without disruptions.
  • Accurate Data Entry: Maintain clean and accurate data records, supporting finance team operations.
  • Organized CRM Support: Keep CRM systems updated and accurate to assist business development.

Qualifications

  • Experience: Minimum of 2 years in administrative or operational roles, including calendar management and data entry.
  • Operational Background: Experience in operations is highly preferred.
  • CRM Proficiency: Familiarity with CRM tools (Zoho experience is a plus).
  • Organizational Skills: Excellent multitasking and time management abilities.
  • Communication: Strong verbal and written communication skills in English.
  • Tech Savvy: Proficient in spreadsheets, email management tools, and other office software.
