Role Overview

The Administrative Assistant will streamline and execute several employee-related functions for the HR department and the organization. This role involves working closely with all departments on multiple company-wide projects, requiring strong attention to detail and confidentiality.

Position: Administrative Assistant

Location: 100% Remote (Work From Home)

Salary: $5 per hour

Key Responsibilities

  • Employee Onboarding: Input new employee details into the HRIS system.
  • Background Checks: Conduct background checks and arrange drug testing.
  • Offboarding: Manage the process for departing employees.
  • Employment Verification: Respond to employment verification requests.
  • Travel Coordination: Arrange travel for employees.
  • Purchasing: Process and fulfill company purchase requests.
  • Equipment Orders: Process equipment orders and ensure timely delivery.
  • Mail Management: Handle mail distribution and package management.
  • Document Management: Maintain and update the document management system.
  • Learning Management System: Assist in managing the organization’s learning management system.
  • Meetings and Events: Coordinate company-wide meetings and employee communication events.
  • HR Events: Assist in planning HR-related events and activities.
  • Project Assistance: Assist and complete projects as needed.
  • Website Management: Manage and update the company’s recognition and announcement website.
  • Backup Support: Provide backup support to the HR Generalist.
  • Other Duties: Perform other duties as needed.

Requirements

  • Experience: 1+ years of experience in an office setting.
  • Technical Skills: Proficient in navigating multiple windows/browsers, performing extensive internet research, and typing 45 WPM.
  • Software Proficiency: Working knowledge of G-Suite and Microsoft Office products.
  • Physical Capability: Ability to sit at a desk and work on a computer for prolonged periods.
  • Data Entry: Ability to enter data into a computer quickly and accurately.
  • Time Zone: Must be amenable to work in US Timezone.
  • Workspace: Have an available space to set up the provided device and ensure proper backups are in place.

System Requirements

  • Internet: At least 15mbps main internet and at least 10mbps for backup.
  • Computer: A desktop or laptop with an i5 processor and at least 8 GB RAM, and an i3 processor for backup.
  • Power Backup: Back-ups should function during power interruptions.
  • Equipment: A webcam and a noise-canceling USB headset.
  • Environment: Quiet, dedicated home office.
