Job Overview: IT Workstream Lead / Project Support
As an IT Workstream Lead / Project Support Manager, you will play a key role in the Digital Programme Management Office (DPMO) within our Digital Services Department. This is a dynamic position that requires the ability to work independently, manage small workstreams, and confidently liaise with internal and external stakeholders. You will help maintain workstream documentation, including project plans, and play an essential part in supporting the progress of projects across the organization.
Key Responsibilities
Workstream Management and Stakeholder Engagement
- Independently manage small workstreams, liaising confidently with stakeholders at all levels.
- Create and maintain workstream documentation including spreadsheets, project reports, and meeting minutes using tools like Microsoft Project and Excel.
- Support the Head of IT Programme Management in maintaining complex programme plans and ensure all documentation is accurately updated in electronic formats.
- Provide administrative support for project meetings, including taking minutes and distributing papers.
- Monitor and manage risks, ensuring timely escalation of issues when required.
- Collaborate with third-party suppliers and stakeholders to ensure smooth project execution.
Project Reporting and Communication
- Produce regular and ad hoc workstream reports, detailing project milestones and progress.
- Communicate project information effectively, ensuring all stakeholders are informed at every stage of the workstream.
- Support the creation of business cases for IT services, ensuring they align with organizational goals.
- Lead and coordinate business case submissions, including external business cases through the approval processes.
Risk Management and Compliance
- Maintain risk logs for all workstreams and ensure compliance with departmental standards and policies.
- Act as the Configuration Librarian, overseeing the electronic filing structure and ensuring all documentation is up-to-date.
- Ensure adherence to required project standards, including documentation completion in the agreed format.
- Provide support to ensure all projects comply with Trust policies and relevant regulations.
Support for Programme and Project Success
- Coordinate and monitor progress of the capital programme, including budget forecasting and timely invoicing.
- Work closely with the wider IT Programme Management Office to ensure alignment of goals and strategies across the organization.
- Motivate teams and drive project delivery by communicating sensitive performance and change information effectively.
Qualifications and Experience
Essential Qualifications
- Degree-level education or equivalent experience in a related field.
- PRINCE2 Foundation or an equivalent project management certification.
Desirable Qualifications
- PRINCE2 Practitioner certification.
- ECDL (European Computer Driving Licence).
Essential Experience
- Proven experience using Microsoft Office applications, particularly Word, Excel, and SharePoint.
- Demonstrated ability to create and manage electronic filing systems.
- Project management experience, ideally underpinned by PRINCE2 or similar methodologies.
- Proven ability to work with staff at all levels and manage relationships with both internal and external stakeholders.
Desirable Experience
- Experience with Microsoft Project and Visio for project management.
- Experience in setting up project management offices or implementing new processes.
Knowledge and Skills
- Advanced keyboard and communication skills, with an ability to produce clear, professional documentation.
- Strong organizational and administrative skills, with an ability to work independently.
- Ability to work under pressure and manage conflicting deadlines.
- Strong analytical and problem-solving skills.
