Job Summary

  • Salary: £29,970 – £36,483 per annum

An exciting opportunity has arisen within the Medicine Management Team at the University Hospitals Bristol and Weston NHS Foundation Trust (UHBW). This role provides comprehensive personal assistant and secretarial services to the Divisional Director, Clinical Chair, and Head of Nursing, ensuring high professional standards and smooth administrative processes.

Key Responsibilities

  • Administrative Support:
    • Manage incoming calls, correspondence, and post; assess priorities and initiate responses as appropriate.
    • Organize divisional governance group papers and other meetings chaired by senior staff.
    • Maintain and order office supplies and equipment for the Medicine Management Team.
  • Project Management:
    • Support performance and improvement projects within the Division.
    • Handle recruitment processes for divisional staff.
  • Communication:
    • Act as a liaison for confidential, sensitive, and contentious information on behalf of senior leaders.
    • Welcome and provide assistance to visitors, ensuring a friendly and professional service.
  • Ambassadorship:
    • Represent the Division of Medicine, supporting its specialties, sustainability initiatives, and cultural improvements.

Required Qualifications & Skills

Essential Qualifications:

  • Degree-level education or equivalent.
  • Evidence of ongoing personal development.
  • Proficiency in Microsoft Office or equivalent.

Essential Skills:

  • Strong organizational and administrative abilities with attention to detail.
  • Ability to prioritize tasks and work independently under minimal supervision.
  • Excellent written and verbal communication skills.
  • Competence in building positive relationships with internal and external stakeholders.

Desirable Qualifications:

  • PA/Secretarial Administrative Diploma.
  • Previous NHS or Medicine Specialties experience.

Aptitudes:

  • Positive, resilient, and adaptable.
  • Genuine interest in NHS structure, policies, and services.
  • High attention to detail and accuracy.

Disclosure and Barring Service Check

This position requires a submission to the Disclosure and Barring Service (DBS) for checking previous criminal convictions under the Rehabilitation of Offenders Act (Exceptions Order) 1975.
