Job Overview

The Estates Officer role is essential for maintaining the high standards of care within the Trust, ensuring that facilities meet operational and safety requirements at all times.

As an Estates Officer, you will play a key role in the management and upkeep of multiple Trust sites, ensuring the continuous smooth running of the estate. Your expertise in hard facilities management will ensure that all facilities remain safe, compliant, and operational around the clock.


Key Responsibilities

1. Operational Delivery

  • Maintenance Management: Oversee and coordinate maintenance contracts to ensure all Trust sites comply with safety and operational standards.

  • Contract Administration: Administer and monitor maintenance contracts, ensuring all requests are completed, recorded, and signed off appropriately.

  • Site Inspections: Conduct daily site visits to inspect maintenance and building works, ensuring quality control and compliance with Trust standards.

  • Minor Works & Backlog Maintenance: Assist with managing minor works and backlog maintenance, ensuring that all issues are addressed promptly.

  • Contract Performance: Collaborate with the Contract Performance Manager to track and improve the performance of the Trust’s contracts.

  • Stakeholder Liaison: Proactively liaise with stakeholders to provide updates on maintenance activities and address concerns related to backlog or ongoing issues.

  • Incident Investigation: Investigate and report incidents, ensuring that findings are communicated effectively and that lessons learned are incorporated into future practices.

2. Technical Expertise & Compliance

  • Technical Data Interpretation: Analyze building infrastructure, mechanical, and electrical data to develop practical solutions that maintain the Trust’s estate.

  • Safety Compliance: Ensure compliance with health and safety regulations, including fire safety, water management, and asbestos management.

  • Risk Management: Contribute to risk treatment plans and assist in managing health and safety matters across all Trust sites.

3. Strategic Planning & Support

  • Strategic Development: Support the development of strategies related to hard facilities management services, including long-term planning for the upkeep of the estate.

  • Collaboration with Capital Project Teams: Work closely with contractors and Capital Project teams to manage new build or refurbishment projects.

  • Budget Management: Assist with budget management for maintenance projects, ensuring that resources are used efficiently and within budget.


Qualifications and Experience

Essential

  • Driving License & Vehicle: A current driving license and access to a personal vehicle for site visits (mileage expenses paid).

  • Technical Qualifications: HNC/HND in Mechanical/Electrical Engineering or equivalent significant management experience.

  • Experience in Operational Maintenance: Substantial experience in operational maintenance within mechanical, electrical, or building service disciplines.

  • Health and Safety Knowledge: Specialist knowledge of health and safety regulations, including fire detection, asbestos management, and water management systems.

  • Technical Equipment Expertise: Ability to troubleshoot and resolve issues related to technical equipment such as CCTV, public address systems, and fire alarms.

  • Communication Skills: Strong ability to present complex and sometimes sensitive information both orally and in writing.

Desirable

  • Degree-Level Education: Educated to degree level or equivalent professional experience.

  • Professional Memberships: Working towards membership of a professional institution such as IHEEM, IEE, IET, I.MechE, or CIBSE.

  • Capital Project Experience: Experience working with Capital Project teams on new builds or refurbishment projects.

  • Investigation Skills: Experience in conducting post-incident investigations, producing action plans, and implementing risk treatment plans.
