Overview of the Role

The Royal Cornwall Hospitals Trust is offering an exciting leadership opportunity for an experienced administrative professional to join the Breast Screening and Symptomatic Breast Service at the Mermaid Centre. As the Deputy Office Supervisor, you will play a pivotal role in supporting the Programme Manager to deliver essential breast screening services across Cornwall, ensuring high-quality administrative support throughout the patient journey.

Key Responsibilities

1. Day-to-Day Supervision and Management

  • Oversee the administrative functions of the Mermaid Centre, including managing the Breast Screening Programme for Cornwall (NHSBSP), screening of women at high risk, and the symptomatic breast cancer service.

  • Ensure that accurate and timely rotas for clerical staff across various hospital sites are provided.

  • Supervise and train the administrative and clerical team, ensuring a high standard of performance.

  • Deputize in the absence of the Programme Manager for personnel issues, targets reporting, and screening administration.

2. Service Delivery and Compliance

  • Ensure patients are booked within expected timescales, including Breast Screening assessments, Cancer 2ww, follow-ups, and 6-week diagnostic targets.

  • Assist with the timely update of all QPulse documentation and ensure compliance with trust policies and procedures.

  • Handle complex administrative tasks, ensuring that all issues are addressed in a timely and effective manner.

3. Communication and Stakeholder Collaboration

  • Communicate effectively with both internal and external stakeholders, providing clear and concise information when necessary.

  • Use knowledge and experience to problem-solve issues as they arise, ensuring smooth and efficient operations at the Mermaid Centre.

  • Help maintain excellent working relationships with colleagues, patients, and third-party service providers.

4. Reporting and Data Management

  • Assist in the delivery and reporting of local and national access targets across every stage of the patient journey.

  • Ensure that all administrative and screening processes are documented and aligned with NHS standards and regulations.


About You

As a Deputy Office Supervisor, you will demonstrate leadership and initiative while being able to handle sensitive information with confidentiality and professionalism.

Essential Qualifications and Experience:

  • General education: GCSE Maths and English at grade C or above (or equivalent).

  • Line management/supervisory experience: Proven ability to lead a team in a busy office environment.

  • Hospital and IT systems knowledge: Familiarity with Microsoft Office, PAS, MAXIMs, RADAR, and advanced keyboard skills.

  • Excellent communication skills: Ability to convey complex information clearly and professionally, both orally and in writing.

  • Time management: Ability to prioritize workloads, meet deadlines, and work efficiently under pressure.

Desirable Qualifications:

  • Experience in Business administration or IT-related courses/qualifications.

  • Understanding of the NHS Breast Screening Programme (NHSBSP).

  • Knowledge of RTT (Referral to Treatment) and cancer 2ww targets.

  • Familiarity with Crystal Reports Software and HR policies.
