About the Role: Care Coordinator Assistant
As a Care Coordinator Assistant at Caremark Southampton, you’ll play a key role in supporting the care team and ensuring our services meet the highest standards. You’ll manage administrative tasks while helping with scheduling and ensuring smooth communication between caregivers and clients.
Your role will be both rewarding and varied, and you’ll make a positive impact by supporting the care team, coordinating visits, and assisting with office management tasks.
Key Responsibilities
As a Care Coordinator Assistant, your primary duties will include:
1. Managing Client Communication
- Answering phone calls and responding to emails professionally, ensuring clients’ needs are addressed promptly.
- Acting as the first point of contact for clients and caregivers, providing assistance and resolving issues.
2. Scheduling and Organizing
- Assisting with client visit schedules and creating staff rotas to ensure all shifts are covered.
- Coordinating care visits and adjusting schedules as necessary based on availability and client requirements.
3. Maintaining Documentation and Compliance
- Keeping accurate and up-to-date client records and compliance documents.
- Preparing and maintaining reports on care activities and administrative tasks.
4. Supporting the Care Team
- Assisting the care team with daily administrative tasks, ensuring smooth operation of services.
- Ensuring the care staff have the resources and information they need to deliver exceptional care.
5. Office Management
- Handling office-related tasks such as document preparation, filing, and report generation.
- Ensuring that all office activities are organized and comply with Caremark’s standards and regulations.

Key Qualifications:
- Organizational & Time Management Skills: Ability to prioritize and manage tasks efficiently.
- Communication Skills: Strong written and verbal communication to interact effectively with clients, caregivers, and the team.
- Microsoft Office Proficiency: Experience with Microsoft Word, Excel, and Outlook to manage documents and schedules.
- Attention to Detail: The ability to maintain accurate records and manage multiple tasks simultaneously.
- Administrative Experience: Previous administrative experience is preferred, particularly in the care sector.
- Proactive & Independent: Ability to work independently and take the initiative to resolve issues.
- Eligibility to Work in the UK: Applicants must be eligible to work in the United Kingdom.
