Job Summary: Assistant Service Manager
An exciting opportunity has arisen for an Assistant Service Manager to join the Haematology Oncology team on a fixed-term 12-month contract. This role is ideal for an individual with excellent leadership, organizational, and team management skills, as well as experience in patient administration services. You will be responsible for overseeing administrative staff, implementing changes to improve departmental operations, and supporting the management team in various projects.
This role offers the unique opportunity to work closely with both clinical and non-clinical teams, making a real impact in the delivery of cancer services.
Key Responsibilities
Team Leadership and Staff Management
- Line management of administrative staff, ensuring performance is optimally managed and supporting development through training and objective setting.
- Oversee departmental workload planning, ensuring all tasks are executed efficiently and align with local and national objectives, such as RTT waiting times and cancer pathway targets.
- Provide leadership support for the implementation of new procedures, technology, and ways of working.
Operational Management
- Contribute to the development of standard operating procedures to ensure compliance with current practices.
- Plan and monitor department workloads, ensuring the delivery of effective services while adapting to changing requirements.
- Review complaints, incidents, and concerns, proposing and implementing changes to mitigate risks and improve practice.
Performance Monitoring and Reporting
- Ensure departmental performance is regularly monitored by tracking key metrics such as RTT compliance and waiting times, and escalating any risks or issues.
- Collaborate with senior managers to prepare reports and updates for internal and external meetings.
- Audit administrative processes to ensure quality and performance are maintained.
Financial and Resource Management
- Oversee team finances, including raising GRNs for invoices.
- Ensure staffing levels and skill mix are sufficient to meet operational needs.
- Support budget management and ensure cost-effective service delivery.
Training and Development
- Identify training needs for the team and facilitate continuous professional development.
- Ensure all new starters receive thorough induction and ongoing support.
- Monitor staff competencies, ensuring they meet required standards.
Candidate Requirements
To succeed in this role, candidates should meet the following criteria:
Qualifications
- Educated to degree level or equivalent with significant experience in patient access services or administration management.
- Evidence of leadership development and experience in managing teams within a healthcare setting.
Experience
- Previous experience in operational management, particularly within patient access, administrative services, or healthcare pathways.
- Detailed understanding of national patient access standards, including RTT, cancer targets, and pathway management.
- Proven ability to manage and lead teams, ensuring high levels of service and performance.
Skills and Abilities
- Ability to drive change within a team, with excellent decision-making skills.
- Strong communication and leadership abilities, with the capacity to support team performance and motivation.
- Proficiency in IT tools, particularly Microsoft Office (Word, Excel, PowerPoint).
- Knowledge of risk management and the ability to apply this to patient administration services.
