Job Overview: Assistant Administrator Role
We are seeking an enthusiastic Assistant Administrator to join our Outpatient Service Team. As a part of one of the largest trusts in the UK, you will be contributing to key operational tasks that directly impact patient care and service delivery.
Our team is professional, diverse, and highly motivated, and we recognize the importance of both professional development and pastoral care for our staff. This role is ideal for someone who enjoys working in a fast-paced healthcare environment, possesses strong communication skills, and has a passion for providing excellent patient service.
As an Assistant Administrator, your duties will involve interacting with patients and their healthcare journey, ensuring all administrative tasks are handled efficiently to support the department’s operational goals.
Key Responsibilities
Your role as an Assistant Administrator will involve several key responsibilities, including:
- GP Referral Registration and Appointment Booking: You will be responsible for registering GP referrals and scheduling initial appointments with patients. A positive, friendly, and helpful attitude is essential as you will be the first point of contact for patients, setting the tone for a positive experience.
- Data Management: Accurate and timely data entry is crucial to ensure national and trust targets are met. You will be tasked with recording patient information that supports appropriate remuneration and operational effectiveness.
- Patient Interaction: You will engage with patients over the phone, answering their queries, rescheduling or cancelling appointments as needed, and ensuring a supportive and professional interaction.
- IT Systems Use: The role requires the use of various IT systems to complete administrative tasks. You will need to manage multiple platforms effectively and efficiently to ensure the smooth operation of the department.
- Call Management: As an integral part of the team, you will answer incoming calls promptly, providing clear information and ensuring that patients’ needs are met with empathy and efficiency.
This position offers an excellent opportunity for individuals who want to make a difference in the healthcare sector while gaining valuable experience in administrative functions within a large and respected healthcare provider.

- IT Literacy: A basic understanding of IT systems and the ability to learn new technologies quickly is essential. You will be working with multiple healthcare systems and software to complete your tasks efficiently.
- Attention to Detail: Accuracy is key in this role, particularly when recording patient information and managing appointments.
- Organizational Skills: You should have good organizational skills to handle multiple tasks simultaneously and manage time effectively in a busy hospital environment.
