About the Role
Are you an experienced administrator with a passion for supporting mental health services? NELFT North East London Foundation Trust (NELFT) is seeking an Administrator to support the Mental Health Support Teams (MHST) across North East Essex. This is a vital role that focuses on early intervention, prevention, and promoting mental health and emotional wellbeing for young people across schools and colleges.
In this full-time position, you will provide comprehensive administrative support, ensuring the smooth running of the MHSTs and contributing to the effective delivery of mental health services. You will be joining a supportive and collaborative team, working alongside clinicians, managers, and external agencies to make a positive impact on the wellbeing of young people.
Key Responsibilities
Administrative Support for MHSTs
- Provide secretarial and administrative support to the MHSTs across North East Essex, ensuring efficient operations.
- Use System One to manage patient files, upload referrals, and ensure accurate data reporting.
- Handle general administrative duties, including preparation of patient letters, sorting incoming/outgoing post, and managing emails and telephone queries.
- Take minutes at meetings as requested by the operational manager and distribute them as needed.
- Liaise with staff members, including clinicians, senior managers, and other health professionals to ensure smooth communication and project support.
Communication & Customer Service
- Demonstrate excellent telephone manners and provide effective customer service to service users, carers, professionals, and external agencies.
- Ensure complex calls from anxious or distressed clients are escalated appropriately to senior staff for resolution.
- Maintain a positive image of the team and promote the mission of mental health support in Essex.
Additional Administrative Duties
- Maintain high standards in organization, filing, and documentation management.
- Support with team events, including away days and recruitment, requiring occasional travel to Clacton, Harwich, and Basildon.
- Assist with the administration of team meetings and the coordination of staff schedules.
Candidate Requirements
Essential Skills & Experience
- Previous administrative experience in a busy work environment, ideally within healthcare or public sector services.
- Familiarity with Microsoft Office applications (Word, Excel, Outlook) and general IT skills.
- Ability to communicate effectively with both service users and professionals in a compassionate and clear manner.
- Strong organizational skills and the ability to manage multiple tasks simultaneously.
- A positive, proactive attitude towards team collaboration and independent work.
Desirable Experience
- Experience working in an NHS setting or mental health services is advantageous but not essential.
- Typing and customer service skills, particularly in a healthcare setting, are a plus.
Qualifications
- NVQ Level 2 or equivalent in literacy and numeracy.
- NVQ Level 3 in Administration/Customer Service or equivalent work experience in a similar role.
