As we continue to grow, we are looking for an experienced Admin Manager to join our team. This pivotal role will ensure that our administrative operations run smoothly, contributing to the overall efficiency and effectiveness of our organization.


Key Responsibilities

As the Admin Manager at Endone LTD, you will be responsible for managing day-to-day administrative functions, providing essential support to the team, and ensuring that the operations run efficiently. Your key duties will include:

Office Management

  • Oversee the day-to-day administrative operations, ensuring smooth workflow across the office.

  • Delegate tasks to administrative staff and ensure deadlines are met efficiently.

Communication & Coordination

  • Answer phone calls, respond to emails, and liaise with clients, contractors, and internal teams.

  • Maintain professional and timely communication with all stakeholders involved.

Documentation & Compliance

  • Maintain and update crucial internal records, including Health and Safety documentation, SafeContractor Accreditation, staff training records, vehicle logs, and insurance details.

  • Ensure timely membership renewals for industry certifications.

Work Scheduling & Operations Support

  • Manage the booking systems for operatives and ensure proper scheduling of work orders.

  • Track project progress and support the operational team in meeting deadlines.

Invoicing & Financial Coordination

  • Ensure the receipt of work orders from clients and facilitate invoicing processes.

  • Coordinate with the finance department to ensure accuracy in billing and payment tracking.

Training & Development

  • Update training schedules and coordinate bookings for new courses for employees.

  • Ensure staff training complies with legal and company requirements.

Software & System Management

  • Implement and oversee internal administrative systems, including field maintenance systems such as Job Logic (training will be provided if necessary).

  • Monitor and improve system workflows to enhance operational efficiency.

Process Improvement

  • Continuously evaluate and enhance administrative procedures for increased productivity.

  • Identify bottlenecks and implement solutions to streamline processes.


Required Qualifications & Skills

To succeed in this role, we are looking for a candidate who brings a blend of organizational, technical, and leadership skills:

Experience

  • Minimum of 10 years of management and administrative experience, preferably within the construction, building, or maintenance industry.

  • Proven track record of overseeing office management and administrative operations.

Technical Proficiency

  • Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook).

  • Typing speed of 50 words per minute or more.

  • Familiarity with Job Logic or similar field maintenance systems is an advantage (training provided).

Organizational & Leadership Skills

  • Ability to multitask effectively and manage multiple priorities in a fast-paced environment.

  • Exceptional problem-solving and decision-making skills.

  • Strong organizational skills and meticulous attention to detail.

Communication & Interpersonal Skills

  • Excellent verbal and written communication skills.

  • Ability to confidently liaise with clients, contractors, and team members.

Initiative & Resilience

  • Self-motivated with a proactive, solution-focused approach to challenges.

  • Ability to work independently and demonstrate resilience under pressure.
