Job Overview

The Robert Jones and Agnes Hunt Orthopaedic Hospital NHS Foundation Trust (RJAH) is seeking an organized and dedicated Access Team Booking Coordinator to join the Outpatient Booking Office. In this key role, you will help facilitate an efficient and responsive service for patients by managing outpatient appointments within specified time limits. Key Responsibilities

As an Outpatient Booking Coordinator, your main duties will include:

Managing Outpatient Pathways

  • Process Referrals: Handle paper and electronic referrals for outpatient specialties, ensuring timely booking of appointments.
  • Clinic Coordination: Take lead responsibility for clinic management, maintaining the waiting list, and ensuring all patients are treated according to waiting list priorities.
  • Patient Communication: Coordinate appointment scheduling with patients, offering helpful information regarding location, procedure, and appointment specifics.
  • Escalation of Urgent Cases: Identify any urgent referrals, particularly those with red flag symptoms, and promptly escalate them to consultants or medical teams.

System and Record Management

  • System Proficiency: Regularly update and maintain patient details using various hospital systems such as Lorenzo, Spinal Portal, and Bookwise.
  • Track Patient Progress: Monitor the Patient Tracking Lists (PTL) and ensure new patients are booked according to target waiting times.
  • Documentation: Ensure that all patient information is scanned, filed, and maintained according to hospital policies and GDPR requirements.

Cross-departmental Liaison and Reporting

  • Liaise with Consultants: Regularly interact with consultants to align on clinic schedules, patient prioritization, and any changes or cancellations.
  • Report Management: Provide daily status updates on waiting lists and escalate any issues or delays to the relevant department heads or medical staff.
