Job Summary

The Outpatient Booking Coordinator at Robert Jones and Agnes Hunt Orthopaedic Hospital NHS Foundation Trust is a pivotal role within the Outpatient Booking Office. This role is designed to provide a patient-focused, efficient, and responsive contact point for scheduling outpatient appointments. As a Booking Coordinator, you will manage various stages of the outpatient pathway, from receiving referrals to booking patient appointments in line with clinical protocols. The role offers an exciting opportunity to contribute to the smooth running of the hospital’s clinics and provide excellent service to patients.


Key Responsibilities

As an Outpatient Booking Coordinator, you will be responsible for:

  • Managing Patient Appointments: Oversee the scheduling of outpatient appointments, ensuring they are booked in accordance with clinical protocols and guidelines. You will also ensure all patient information is correctly entered into the Lorenzo system and that any necessary images are requested.

  • Coordinating the Outpatient Pathway: Track the entire outpatient journey from the acceptance of a referral to the final appointment, ensuring all deadlines are met and that each patient’s pathway is managed effectively.

  • Clinic Management: Take lead responsibility for managing the booking and coordination of clinics for specific consultants or specialties, including providing cross-cover for colleagues in other specialties when necessary.

  • Waiting List and Capacity Management: Monitor the outpatient waiting list closely, ensuring capacity is utilized efficiently and that all patients are treated promptly in line with clinic capacity. Regular communication with the Outpatient Team Leader and Administrative Service Manager will be essential to managing patient flow.

  • Patient Communication: Regularly liaise with patients to confirm their appointments, answer queries, and provide information about their appointments. You will also provide updates and reschedule appointments when needed, ensuring excellent customer service.

  • Data Management: Maintain patient records, ensuring all necessary documentation is scanned and filed in the Electronic Patient Record (EPR) system. This also involves ensuring follow-up appointments are scheduled accurately in collaboration with the discharge team.

  • Escalation and Problem-Solving: Quickly identify any urgent referrals or issues within the outpatient system and escalate these to the relevant medical and administrative teams to ensure timely resolution.

  • Support and Training: Provide support to colleagues, participate in team training, and assist in ensuring that systems such as Lorenzo and the E-referral service are used efficiently.


Required Qualifications and Skills

Essential Qualifications:

  • GCSE English, Maths, and ICT (Grade C or above)

  • Competent in the use of Microsoft Office

  • Prior experience in a reception or formal office setting

Desirable Qualifications:

  • Previous experience in a Medical Records Department

  • Experience using hospital-specific computer systems (e.g., PAS, SF4)

Skills and Competencies:

  • Strong communication skills, both written and verbal

  • Excellent organizational abilities to prioritize and meet deadlines

  • Ability to maintain confidentiality and handle sensitive information

  • Strong numeracy skills and attention to detail

  • Ability to work independently and use initiative

  • Proficient in using various computer systems, particularly related to healthcare management

  • Empathy and tact when dealing with patients, especially in difficult or emotional situations
